Studio Manager
Job Brief
The Studio Manager will organise and coordinate administration duties and office procedures. The role is to create and maintain a work environment that ensures high levels of organisational effectiveness, communication, and safety. Roles and Responsibilities
- Supporting the Directors and team
- Diary management and meeting agendas, organisation, and coordination
- Travel bookings/coordination
- Maintaining office environment and ensuring all stationery and equipment meet necessary requirements
- Ensuring staff have submitted all timesheets and expenses
- Supporting invoicing process
- Coordinating with vendors and service providers including the landlord, facilities/building management, IT support and other external suppliers
- Managing contracts and price negotiations with office vendors and service providers, including office lease
- Managing office budget (general/administrative) and ensuring accurate and timely reporting
- Provide general support to visitors
- Assisting in the onboarding process for new hires and addressing employee queries regarding office management issues (e.g. stationery, equipment and travel)
- Monitoring staff holiday/absence calendar
- Planning in-house or off-site activities including team meetings, marketing events, CPDs and training, and staff events
- Organising office operations and procedures, including first aid and fire
- Support in renewing and updating annual insurance policies
- Support in monitoring and renewing subscriptions and memberships
- Updating and maintaining office policies, support preparation of material for auditing, as necessary
Support Role
- Bid support: using Microsoft Office and InDesign to help develop EOIs, bids and submissions
- Updating social media and marketing collateral, as required
- Supporting the submission of awards entries
- Updating the prospects, proposals, and projects report
- Reviewing online opportunities
Key Skills
- Experience working as a Studio/Office Manager
- Excellent organisational skills and multi-tasking
- Attention to detail and problem-solving skills
- Excellent communication skills – written and verbal
- Experience using Microsoft Office
- Confidence to work autonomously and willingness to help in various areas of the practice
- A creative mind with the ability to suggest improvements
- Proof of ability to work in the UK
Desirable Skills
- Experience using InDesign and other Adobe software
- Preferably has design practice experience
